General Information
Admission Facilities – Exhibitors
1. No tickets will be issued to an Exhibitor nor will an Exhibitor or Exhibitor’s goods for display be granted access to the Premises whilst space charges remain outstanding.
2. Extra tickets and badges can be collected on site from the organisers.
Admission Facilities – Visitors
1. Free admission facilities for visitors will be available through pre-registration on the EI Live 2025 website at www.eiliveshow.com as well as registration on arrival at the venue.
Attendance on Stands
1. Unless All Things Media Ltd gives its written agreement to the contrary, all exhibits must be on view and in the charge of a competent representative of the Exhibitor during the whole of the period that the Show is open and must remain uncovered until the daily close of the Show.
2. In the event of an Exhibitor neglecting to open or uncover its stand or exhibits during the hours that the Show is open, the organiser may do so at the Exhibitor’s risk and the Exhibitor shall be liable for all costs, charges and expenses that may be incurred thereby.
Car Parking Arrangements
1. A free car park will be available onsite to both exhibitors and visitors.
Carpet & Gangways
1. Shell Scheme Stands will be covered in Grey recyclable cord carpet and the aisles will be covered in Blue recyclable cord carpet.
Rubbish Removal
1. Any packing material or other similar materials brought into the premises and all debris arising from the construction or dismantling of stand fittings, etc. must be removed from the premises by the Exhibitor or its contractor.
2. All Things Media Ltd reserves the right to pass on any charges direct to the Exhibitor for the removal of any remaining rubbish or debris. IF YOU BRING IT IN TAKE IT OUT.
Dilapidations
1. The Exhibitor is responsible for any damage to the fabric of the Premises caused by it, its agents or its contractors and should satisfy themselves as to the condition of the stand site before the building of the stand and after its clearance. The use of cable clips and other fixings to the floor is strictly prohibited and it is essential that a recognised adhesive tape is used when fixing any carpet to the hall floor.
2. The Exhibitor or its appointed contractor is responsible for ensuring that the site is cleared after the show of all debris and structure/floor occasioned by themselves or persons carrying out work on their behalf. Only the venue may carry out repair work.
3. At the end of the tenancy, the Premises will be inspected by the Venue and, in accordance with the Licence, any damage to the building structure occasioned by an Exhibitor or its contractor will be notified to All Things Media Ltd who will invoice the Exhibitor for the cost of any repairs.
Disabled Facilities
1. Exhibitors are reminded that consideration should be given to disabled visitors including those using wheelchairs and with hearing or sight difficulties and reasonable adjustments made, where practical and possible.
Disability Discrimination Act
1. Exhibitors should be aware that they have obligations under the Disability Discrimination Act 1995 because Exhibitors are considered Service Providers. Part III of the Disability Discrimination Act 1995 came into effect on 1 October 2004.
This outlined 3 principal duties where are:
(a) To provide a disabled person with the same service that it provides to others
(b) The service must be provided on the same terms
(c) The service must be provided to the same standard.
Changes and adjustments that are made must be ‘reasonable’ and reasons for making, or not making, changes and adjustments must be ‘reasonable’.
Exhibitors’ Nominated Contractors
1. The name of any contractor proposed to be employed by any Exhibitor for the carrying out of work within the Premises in connection with stand fittings or otherwise, must be submitted to All Things Media Ltd for approval not later than 1st September 2025.
Fire Procedures
1. The Venue will provide fire extinguishers in designated areas to meet the Council requirements and these extinguishers must not be removed from the Premises. All Things Media Ltd reserves the right to pass on any charge that may be incurred for the replacement of any fire extinguishers removed by an Exhibitor (current charge per extinguisher is £100.00).
2. Exhibitors should ensure that they are conversant with their use as well as acquainting themselves with the location of the nearest fire exit and alarm point on the Premises.
Installation & Decoration of Stands
1. Ensure the stand is fit for purpose, is appropriately dressed, maintained and all exhibits are in position by 09.00 hrs on Wednesday 17th September 2025.
2. The Exhibitor must provide all labour for delivery and removal of exhibits, but in default the Show Team may, at the expense and risk of the Exhibitor, do whatever it may consider necessary.
3. Under the Health & Safety at Work etc. Act 1974, it is strictly forbidden for Exhibitors, contractors and sub-contractors to bring children under the age of 16 or animals into the Premises during the build-up and breakdown periods.
Insurance
1. Exhibitors should ensure they have adequate insurance protection when attending our Exhibition. As a minimum, we require you to have £1 million Public Liability cover. For advice on this, and other insurances that would be of value, please talk to an Insurance Broker regulated by the FSA (Financial Services Authority) for professional advice.
MARKETING & MEDIA
Official Show Guide
Editorial – Each Exhibitor is entitled to one free entry of a maximum of 150 words in the official show guide. The latest date for receipt of editorial entries will be 01/08/2025. Please send your entry to Mark Weller mark@allthingsmedialtd.com.

Obstruction of Gangways
1. Exhibitors will not be allowed to display exhibits in such a manner as to obstruct the light or impede or project over the gangways, or affect the display of neighbouring Exhibitors. Gangways must, at all times (including build up and breakdown period), be left clear and free for passage. Any Exhibitor who continues to cause obstruction after notice has been given will be liable to have its goods removed by the Show Team at the Exhibitor’s expense and risk.
Occupation of Stand
1. An Exhibitor must occupy the space allotted to it no later than 10.00 hrs and all exhibits must be positioned on the stand and every arrangement completed by 09.00 hrs on Wednesday 17th September 2025, otherwise the Show Team may deal with such space at its discretion and require the forfeiture of the space money.
2. A space shall not be deemed to be occupied merely by placing a sign and/or goods.
3. The Show Team or its appointed agents shall be permitted to have access to the stand at all times.
4. Any Exhibitor failing to occupy the space allotted by the designated time will be liable for any costs incurred by All Things Media Ltd for either securing or dressing the area.
Refusal of Admission
1. All Things Media Ltd reserves the right to refuse admission to, remove, or require the removal from the Show of any article or person without assigning any reason. In particular, Exhibitors are reminded that they are expected, at all times, to conduct themselves in a proper and responsible manner and use their best endeavours to promote the Show.
2. All Things Media Ltd reserves the right to close an Exhibitor’s stand (without any liability attached to All Things Media Ltd or its representatives in any way whatsoever) where an Exhibitor is found guilty of conduct likely to have a serious adverse effect upon the Show.
Refusal of Exhibits
1. All Things Media Ltd reserves the right, in its absolute discretion, to refuse the display of any exhibit, at any time, without any reason.
Removal of Exhibits
1. All Things Media Ltd reserves the right to remove from the Show the goods of an Exhibitor who may contravene the Terms and Conditions without refunding any sum paid for Space and no claim shall be made against All Things Media Ltd or its representatives for damages in respect of any refusal or removal under the provisions of the foregoing.
RULES FOR ELECTRICAL WORK
Appointed Electrical Contractor
The appointed electrical contractor for the Show is:

PLEASE NOTE: Electrics are not included in the basic shell scheme. Power points and lighting can be arranged at the expense of the Exhibitor. The order form can be found at the end of this manual.
Orders for electrical installations should be returned to the electrical contractor by no later than 18/08/2025.
ORDERS PLACED AFTER THIS DATE WILL BE SUBJECT TO A SURCHARGE OF 25%. It is essential that this date is strictly adhered to, not only for the stand installation, but to enable the necessary mains to be ordered from the Venue in sufficient time for them to be laid in the hall before general construction commences. Orders received after the due date may necessitate the installing of sub-mains which would involve the Exhibitor in extra cost in addition to the surcharge.
Power Supply
1. The availability of late or extended power during the build-up, open and breakdown periods is not guaranteed, is subject to a charge and possible interruption for essential services work to be carried out. If you require the power supply on your stand to be 24 hours, please contact All Things Media Ltd to discuss your requirements.
Show Open Period:
Wednesday 17th September 2025 09.30 – 17.00
Thursday 18th September 2025 09.30 – 16.00
2. After the published show closing time it may be possible (subject to a charge) to provide extended power to stands – for a limited period – for officially authorised Exhibitors, subject to prior arrangement.
Breakdown Period:
Thursday 18th September 2025 16.30 – 22.00
3. At the close of the show, extended power into the official breakdown period will NOT be available.
Service Ducts
1. The service ducts are for the use of the official venue contractors in laying the supply of electrical and telecom cables only. The private use of the service ducts by Exhibitors and contractors is strictly prohibited.
Shell Scheme Name Board
1. Please make sure you complete the GES form which can be found in this manual.
1. By the Terms and Conditions, All Things Media Ltd accepts no responsibility for losses or damage to any exhibit or any property of the Exhibitor or the contractor in any circumstances. Reasonable steps are taken for general care and security. It needs to be stressed that Exhibitors must make their own arrangements for protection of their property and to cover them by insurance.
2. Please note the following:-
(a) Do not leave any items unattended at any time during the tenancy period that can be regarded as portable or from which parts can be readily detached. Particular attention should be given to mobile phones, laptop computers, handbags, briefcases, etc.
(b) Ensure the insurance covers the hours immediately following the close of the Show Exhibitors are urged to take particular care and have some representation on their stands throughout the day.
(c) Any losses should be reported immediately to the Organiser.
1. The Organisers regret that the tannoy system cannot be used during the show except for Police and emergency announcements. It cannot be used as a general paging system.
Technical Services
Liability of Exhibitors & Contractors
1. Every Exhibitor and its contractor(s) participate at their own risk in every aspect including that from fire and/or damage to or loss of exhibits, stands, furniture, fittings and/or empty packing cases from any cause and at any time whatsoever including the time exhibits are in transit either to or from the Exhibitor’s stand. This is particularly relevant where stand fittings, carpets, etc. are installed and completed at an early stage of the show preparation.
2. No liability can be accepted for damage to properties as a result of a third party dilapidation and all possible precautionary protection should be arranged. Insurance cover should, therefore, be considered as an essential requirement.
